What is a Virtual Wedding Assistant?

The words “virtual wedding assistant” may sound fancy. However, a virtual wedding assistant is a professional who provides remote business assistance. While online wedding coordinators are a great asset to bust wedding pros, they can also serve as a remote wedding planner.

Examples of tasks a remote coordinator can assist with to provide a stress-free way to plan your wedding online include:

  • Researching Wedding/Bridal Salons.
  • Planning a Bachelorette Party.
  • Creating a Mood Board for the bridal shower.
  • Sending texts to remind the bridesmaids of their salon appointments.

5 Reasons to Hire a Virtual Wedding Assistant

A virtual wedding assistant can provide limitless tasks to help make your wedding planning go smoothly. Furthermore, here are the top 5 reasons to hire a remote wedding coordinator.

  1. Expertise and Experience – Remote wedding planners can bring an abundance of knowledge in wedding planning. Additionally, they also tend to be tech-savy, quick-thinkers, and may have extensive experience in communication, executive training, and technolgy. In other word, they can provide solutions to make weddings smooth sailing, and help avoid catastrophies in ways a traditional wedding planner may not.
  2. Save Time – The engagement period/planning period can be emotional, and strenous on the couple’s time. Having a set of extra hands behind the screen, can help couples get their time back to focus on other important aspects such as their relationship, relaxation, and family.
  3. Access to Helpful Tools – Couples may not be aware of cloud-based programs, and online planning boards which can be shared between planner and couple. A virtual assistant will have a wide-array of softwares, apps, and technologies that aid in reducing time, money, and anxiety.
  4. Plan From Anywhere – If you live in a remote area, are on a couple’s getaway, or are renting a vacation home, it may be difficult to meet a planner in person. Thankfully, a remote wedding assistant can meet with you via video, phone, or email.
  5. Vendor Coordination – Your remote wedding planner can help you manage communication between your wedding vendors and you. As a result, everyone will be on the same-page, and within the boundaries of your budget.

Virtual Wedding Planning Success Stories

Want to hear from happy couples who have loved hiring a virtual wedding assistant? Here are two testimonials.

*Note: The names and specific info is changed to protect my client’s identity*.

Nancy and Greg Crystal

Nancy and Greg came to me a few years ago when I was working as Greg’s executive assistant. I never thought about wedding planning before, so I was open to providing services for my client and his fiance. They wanted a handfasting(more articles to come), and a Pagan/Woodland-inspired wedding.

As someone with a backround in spiritual life coaching, this was perfect! Within a few weeks, we created their wedding, timeline, and got them the appropriate officiant for their ceremony. Here’s their thoughts:

” I knew Manda because of the excellent virtual assistance for my investment firm. The professionalism, creativity, and end-result was mind-blowing!”

Tracey and Mary Sim

I met Tracey through a networking event and became great friends. In addition, she was one of my social media management clients for six months.

We were talking about the results of Q4 for her social media accounts when I noticed she was distressed. Pausing, I asked her what was going on. She told me that her wedding planner took the money for service and bailed.

My heart broke for her and I knew she was going through a rough time. I offered to help with a few tasks and if she liked my service, we could discuss payment further. As a result, the Sims had an incredible wedding. Here’s their testimonial:

“We needed a wedding planner, after ours bailed on us. I was hesistant at first because I knew Manda hadn’t planned a wedding before. However, I was amazed at how well everything came together, the incredible network she had, and the tools she used to seamlessly plan our wedding. Don’t let her go, she’s a force all on her own.”

Choosing the Right Virtual Wedding Planner

Finding the right virtual wedding planner is crucial for success. Here are 5 things to consider when choosing the right virtual wedding coordinator.

  1. Communication – Professional virtual assistants take communication seriously. Your virtual wedding organizer should response to most communication within 24 hours or less.
  2. Portfolios/Experience – Keep in mind that a virtual wedding assistant may be new to the wedding scene, or worked with clients that require NDAS(Non-Disclosure Agreements), therefore they may not have wedding photos on hand. However, if they are a certified virtual or executive assistant they have taken the time to excel at their profession.
  3. Reviews – A virtual assistant will have at least 1 review on their facebook, social media or website. Keep in mind reviews also don’t always guarantee a good remote wedding planner. On the flipside, they may not have many reviews if they are coming from a Freelancer platform, or are pivoting in their career.
  4. Tools – Reliable, truth-worthy, virtual wedding coordinators need to be tech-savy. They should be able to tell you at least three tools they use in their business.
  5. Ask For a Consultation – Most virtual wedding coordinators, myself included, love to meet with prospective, or current clients. I want to put your mind at ease, and raise your confidence in knowing your wedding planning tasks are in good hands.

How Hiring Does A Virtual Wedding Assistant Work?

Every remote wedding planner does things a little different. Here is the way that I do them that I have to be effective, and productive for everyone.

  1. Book a Meeting – During the meeting you’ll discuss expectations, visions, and cost. Additionally, you’ll get a chance to ask any questions and decide if the virtual assistant is what you’re looking for.
  2. Payment and Contract – After hiring the online wedding planner, you’ll pay and sign a contract that outlines scope of work, hours, expectations, cost, etc. I do not recommend hiring or paying any remote wedding planner until the contract has been signed by both parties.
  3. Communication – You’ll want to decide on how often you want to be in communication with your assistant. Do you want daily updates, weekly meetings, or monthly? Do you want to be contacted by email, phone, chat, or text? This needs to be discussed to execute the planning process.
  4. Plan – Your remote wedding assistant will get started on executing tasks. Typically, your assistant will notify you of each task completed. In addition, theu should send you an end of day summary of completed, pending, or in progress task.
  5. Celebrate – Enjoy your big day!
